Using batch actions to perform bulk updates to data

It's sometimes the case that a user wants to 'bulk change' a selection of records, or even all records. "Batch actions" is a feature that enables users to do just that. Each module in ChurchSuite has its own 'batch action' functionality, with more batch actions planned for the future. Let's look at the batch actions available in each ChurchSuite module...

Address Book

Within the Address Book module on the "Contacts list", selecting one or more contacts will reveal the "Actions" menu, allowing the user to perform batch actions on the selected contacts. Batch actions include: Send email, Send SMS, Download CSV, Add to flow, Add to [small] group, Add to key date, Add to tag, Archive and Delete.

Within a Flow, users can select to batch process or batch remove from flow.

Within in Address Book module's Notes report (Address Book > Reports > Notes), users can select to batch delete one or more contact notes.

Within in Archived Contacts report (Address Book > Reports), users can select to batch delete one or more archived contacts. Notice also how you can filter the list to see just those contacts archived within a range of date, and those who have certain key dates within a range of dates.

Children module

Within the Children module on the "Children list", selecting one or more children will reveal the "Actions" menu, allowing the user to perform batch actions on the selected children. Batch actions include: Send email, Send SMS, Download CSV, Add to key date, Add to tag, Archive and Delete.

Within in Children module's Notes report (Children > Reports > Notes), users can select to batch delete one or more child notes.

Within in Archived Children report (Children > Reports), users can select to batch delete one or more archived children. Notice also how you can filter the list to see just those children archived within a range of date, and those who have certain key dates within a range of dates.

Calendar module

Within the Calendar module on the "Events list", selecting one or more events will reveal the "Actions" menu, allowing the user to perform batch actions on the selected events. Batch actions include: Edit  and Delete.

Selecting "Edit" provides options to perform batch edit actions to edit the event category, event site, event sign-up settings, and the event visibility settings. Ticking a checkbox will expand the edit options available for that item. Users must confirm before clicking "Edit" to process the batch update.

Within in Calendar module's Notes report (Calendar > Reports > Notes), users can select to batch delete one or more event notes.

Small Groups module

Within the Small Groups module on the "Groups list", selecting one or more groups will reveal the "Actions" menu, allowing the user to perform batch actions on the selected groups. Batch actions include: Download CSV and Delete [group].

There are also batch actions available on the Group Members list for each of your small groups, making it easy to bulk-delete members from a group.

Within in Small Groups module's Notes report (Small Groups > Reports > Notes), users can select to batch delete one or more small group notes.

Rotas module

Within the Rotas module on the Rotas index list, selecting one or more rotas will reveal the Actions menu, allowing the user to perform batch actions on the selected rotas. Batch actions include: Edit [rota] and Delete [rota].

The Edit rota batch actions opens a pop-up window where you can select which rota settings you wish to batch edit. A list of affected rotas is also included.

For each of the rota Details, ticking any checkbox will expand the options for that setting.

Once you have edit the desired setting(s), type "I CONFIRM" and click Edit to process the batch changes to each selected rota.

Further batch action within the Rotas module are on the "Ministries list". Selecting one or more ministries will reveal the Actions menu, allowing the user to perform batch actions on the selected ministries. Batch actions include: Delete [ministry].

Within in Rotas module Notes report (Rotas > Reports > Notes), users can select to batch delete one or more ministry notes.

Giving module

Within the Giving module on the "Givers list", selecting one or more givers will reveal the "Actions" menu, allowing the user to perform batch actions on the selected givers. Batch actions include: Download CSV, Archive and Delete.

Within in Giving module's Notes report (Giving > Reports > Notes), users can select to batch delete one or more giver notes.

Bookings module

Within the Bookings module on the "Bookings list", selecting one or more bookings will reveal the "Actions" menu, allowing the user to perform batch actions on the selected bookings. Batch actions include: Delete.

Within the Bookings module on the "Customers list", selecting one or more customers will reveal the "Actions" menu, allowing the user to perform batch actions on the selected customers. Batch actions include: Download CSV and Delete.

Within in Bookings module's booking Notes report (Bookings > Reports > Bookings > Notes), users can select to batch delete one or more booking notes.

Within in Booking module's customer Notes report (Bookings > Reports > Customers > Notes), users can select to batch delete one or more customer notes.
