Event Overseers - Event check-in
Your My ChurchSuite Home page may include a featured events feed, which you can horizontal-scroll to see the next 18 featured events in the next six months. Clicking on a featured event will take you straight to the event page, where you can read further details about the event and sign up for the event (if sign-up is active).
The My Events area of My ChurchSuite is your church's events Calendar, showing upcoming featured events and a searchable calendar of future events. If you've signed up to, or oversee, a future-dated event or have been invited to a future-dated event by your church, you'll see that information in the additional tabs at the top of the page - My Events and My Invites.
Selecting My Events from the Menu opens the event calendar:
Here, you're taken to the Calendar tab, where you'll again see the featured events feed at the top of the page, along with a calendar of the next 6 weeks, with a dot denoting that there's an event on a date. You'll also see a chronological list of all upcoming events in the next 6 weeks. Clicking a date on the calendar shows a list of events on that date.
Clicking on an event will take you to the event page, which will show additional details about the event.
Event Sign Up
Where applicable, you'll be able to sign up for the event. To do this, click Sign Up:
A new page will open, with details of the event and, scrolling down the page, a sign up form. Your sign-up contact details will be pre-populated into the form, making the sign-up process quick and simple. Answer any additional event questions, select your ticket (if applicable), read and accept the Privacy Notice and click Proceed:
You'll then be taken to a summary page where you can check the details and click Confirm to complete the sign-up process:
If your church have enabled payment by card for paid-for event tickets, you'll instead click Proceed to payment, where you'll be taken to a payment page, where you can enter your card details to pay online - paying this way is simple, secure and helps your church with its event management and administration.
Once you've signed up for an event, you should receive a confirmation email and the event will appear in your My Events tab - see the My Events section below.
Search
The Search tab allows you to perform a search of your church's events. Typing a relevant search term will surface relevant events:

Once you've signed up for an event, you'll see a My Events tab in the My Events area, where you can view the events you're signed up for:
Clicking a listed event allows you to view the event details. From here, you can Cancel your sign-up (if your church has enabled this feature) or Check In to the event on arrival using a QR code:
My Invites
If you've been invited via an event invitation email to an event, you'll also see a My Invites tab. Here, you'll see any invites that you've not yet responded to, with the option to Accept or Decline:
Clicking Accept takes you through the event sign-up process detailed above. If your linked spouse or partner has also been invited to an event, you'll also be able to accept the invitation on their behalf during the sign-up process:
Clicking Decline allows you to optionally select the reason why you declined and then Submit your response. If a linked spouse or partner has also been invited, you will be able to decline on their behalf, too:
Declined events remain in your My Invites tab until the event date passes, allowing you to accept the invite at a later date if you'd like:
Event Overseers - Sign-up list
Designated event overseers have additional feature access for events they oversee and manage. Once they click on an event they oversee, they are able view the list of Sign-ups and also manage Event Check-In.
Clicking the Sign-ups tab shows a list of those who've signed up for the event, along with their contact details:
To see each person's full sign-up information, including their responses to any event questions, click the action menu (3 dots) to the right of the sign-up.
Event Overseers - Event check-in
Clicking the Check-in button will open event check-in, allowing you to check people into the event on the day:
Overseers can only access this Check-In button for events within the last 7 days - if the event is older and attendance still needs to be added, it will need to be added by a Calendar module user within ChurchSuite.
Whether working within a browser or from the iOS or Android ChurchSuite app, the Check-In Page is launched. The check-in page is essentially a register of sign-ups that can be ticked to check people in. When working with long lists of sign-ups you can use the Search bar to search by signup name. For events with multiple ticket types, the Tickets filter can also be used to further filter the list. Sign-up QR Codes can also be scanned, which will take you to a sign-up's page where they can be checked in. You can further customise the check-in experience from the Settings menu. For example, turning off Confirm check-ins will prevent the check-in confirmation pop-up showing, when there's a need to process long queues more quickly.
When enabled in Settings, the Confirm check-ins pop-up shows details of each signup's ticket, payment details and event question responses. Where there are "pay on arrival" tickets or unpaid tickets, the Confirm check-ins pop-up includes the option to Mark Paid as part of the Check-In process - each person's on-the-door payment processed in this way is recorded back against the event in ChurchSuite. Note that this is a manual payment workflow for processing on-the-door payments, perhaps in cash. It's not possible to process on-the-door card payments - these can only be processed at the point of signing up for the event.
For events where you wish to record attendance for people who have not signed up previously, or where you wish to take an impromptu register of attendance for a non-sign-up event, you can enable Person Search in Settings, choosing whether to Search Address Book or Search Children or both. Additionally, for events with My ChurchSuite visibility restricted by Tag, ticking Search event tags shows a filtered list of tagged people to search and check-in. When recording attendance for those who haven't signed up for an event, a sign-up is automatically added for the person as you check them in, meaning that everyone who is checked in to an event will have a sign-up listed against the event.
